EDB-R – Maintenance and Control of Materials and Equipment (Musical Instruments)

The Superintendent or his designee will initiate a program to protect musical instruments owned by the District from theft, vandalism and malicious mischief to the extent such value is in excess of $25. This program will provide not only insurance coverage but also a timely reporting system to ensure that current values are maintained and protected. The insurance coverage will be supported by a monthly report at the secondary level and a quarterly report at the elementary level reflecting all inventory changes, i.e., loss, theft, trade, sale, transfer or acquisition. Instrument loans between and among schools should be listed with the school that retains long-term ownership. If permanently transferred, the instrument will be shown as a deletion for that school's report and as an addition on the receiving school's report. The reporting responsibility will be that of the music director or coordinator and ultimately the building administrator. Once each year, the person responsible for reporting will provide an updated valuation on qualified musical instruments or items of musical equipment. Pianos will not be covered under musical instruments but are included under the basic insurance contract within the contents provision. Electronic pianos are not to be covered under the musical instruments' coverage procedure. In case of loss, a written report should be sent promptly to the Executive Director of Fiscal Services.
